Introduction

Look, we get it - nobody really enjoys reading privacy policies. But here's the thing: we actually care about your privacy at Quantarion Hollow. This isn't just some legal jargon we're throwing at you because we have to.

When you stay with us in the heart of the BC wilderness, you're trusting us with more than just your vacation time. You're sharing personal information, and we don't take that lightly. This policy explains what we collect, why we need it, and how we keep it safe.

We've tried to keep this as straightforward as possible. If something's still unclear, just give us a call at (604) 555-8832 and we'll walk you through it over a virtual cup of coffee.

What Information We Collect

When you book a cabin or sign up for one of our guided trails, we'll need some basics:

  • Your name (first and last)
  • Email address
  • Phone number
  • Mailing address
  • Payment details (processed securely through our payment partners)
  • Date of birth (mainly for age-appropriate activities)

Pretty standard stuff, really. We're not asking for your life story here.

To make your wilderness experience memorable, we keep track of:

  • Booking dates and accommodation preferences
  • Dietary restrictions (our farm-to-table kitchen needs to know!)
  • Activity selections and equipment needs
  • Special requests or accessibility requirements
  • Spa treatment preferences
  • Corporate event details if you're planning a retreat

This helps us personalize your stay and remember what you loved for next time.

Like most websites, we automatically collect some technical stuff:

  • IP address and browser type
  • Device information
  • Pages you visit on our site
  • How long you hang out on each page
  • Referring website (how you found us)

This helps us figure out what's working and what needs improvement on our website.

How We Use Your Information

We're not in the business of hoarding data for fun. Everything we collect serves a purpose:

Booking Management

Processing reservations, sending confirmations, and managing your stay details. Can't run a lodge without this!

Communication

Sending you important updates, responding to inquiries, and occasionally sharing special offers if you've opted in.

Service Improvement

Understanding what guests love and what could be better. Your feedback shapes how we evolve.

Safety & Security

Protecting against fraud, ensuring guest safety on trails, and maintaining secure transactions.

When We Share Your Data

We're not selling your information to random companies. Period. But there are a few situations where we need to share data:

  • Service Providers: Our payment processors, booking system providers, and email service handle your info to make everything work smoothly. They're bound by strict confidentiality agreements.
  • Legal Requirements: If the law requires it (think court orders or government requests), we'll comply. We're not fans of this, but sometimes we don't have a choice.
  • Business Transfers: If Quantarion Hollow ever gets sold or merged (not planning on it!), your data would transfer to the new owners who'd be bound by this same policy.
  • Your Consent: If you explicitly ask us to share something with a third party, we'll do that.

That's it. We keep your circle of trust pretty tight around here.

Cookies & Tracking Technologies

Yeah, we use cookies - but not the kind from our farm-to-table kitchen (though those are way better).

What are cookies? Tiny text files stored on your device that help us remember your preferences and understand how you use our site.
Types of Cookies We Use:
  • Essential Cookies: These keep the site functioning. Can't really turn these off without breaking things.
  • Analytics Cookies: Help us understand visitor behavior and improve the website experience.
  • Preference Cookies: Remember your settings and choices for future visits.
  • Marketing Cookies: Track your visit across websites to show relevant ads (only if you consent).

Most browsers let you control cookies through their settings. Just know that blocking some cookies might make parts of our site a bit wonky.

How We Protect Your Data

We take security seriously - probably about as seriously as we take our commitment to preserving the wilderness around us.

Encryption

All sensitive data is encrypted both in transit and at rest.

Secure Systems

Regular security audits and updates to our infrastructure.

Limited Access

Only authorized staff can access your personal information.

Reality Check: While we do everything we can to protect your data, no system is 100% foolproof. We're transparent about this because honesty matters.

Your Privacy Rights

Under Canadian privacy laws (specifically PIPEDA), you've got some solid rights when it comes to your personal information:

Right to Access

You can ask to see what personal data we have about you. We'll provide it within a reasonable timeframe.

Right to Correction

Spot something wrong? Let us know and we'll fix it ASAP.

Right to Deletion

Want us to delete your data? We'll do it, unless we legally need to keep it for bookkeeping or other valid reasons.

Right to Opt-Out

Don't want marketing emails? No problem. There's an unsubscribe link in every email we send.

Right to Portability

You can request a copy of your data in a commonly used format to transfer elsewhere.

To exercise any of these rights: Email us at reservations@quantarionhollow.info or call (604) 555-8832. We'll respond within 30 days max.

Children's Privacy

We love hosting families at Quantarion Hollow, but our website isn't designed for kids under 13 to use independently. We don't knowingly collect personal information from children without parental consent.

If you're booking for your family, you (the adult) are providing the necessary information. If we discover we've accidentally collected data from a child under 13, we'll delete it immediately.

Parents, if you have concerns about your child's information, reach out to us directly and we'll sort it out.

Changes to This Policy

Things change - new laws get passed, technology evolves, and we might expand our services. When that happens, we'll update this privacy policy.

We'll always post the updated version here with a new "Last Updated" date at the top. If we make any major changes that significantly affect how we handle your data, we'll notify you via email or a prominent notice on our website.

We'd recommend checking back here once in a while, especially if it's been a few months since your last visit.

Questions? We're Here

Seriously, if anything in this policy is confusing or you've got questions about how we handle your data, just reach out. We'd rather spend five minutes explaining something than have you wondering.
